When you use the planning wizard, I collect your first name, email address, phone number, and the details of the night you are planning: the occasion, your preferred date, how many people are coming, the number of stops, the vibe you are after, your budget range, and anything you type into the notes field. I also record how you heard about Ludi Guide, if you tell me. I also record which link brought you to the site, so I know whether you found me through an ad, a social post or a search.

When you buy a gift, I collect your name and email, the recipient's name and email, and any personal message you write for them.

When you join the mailing list, I collect your email address and nothing else.

When you pay, the payment itself is handled by Stripe. I never see or store your card number. What I do store is a payment reference and the date payment was received.

When you simply visit the site, analytics tools collect technical information such as your general location (usually your city), the device and browser you are using, which pages you looked at, how you arrived, and how you moved through the site.

I use a tool called Microsoft Clarity that records how visitors interact with the site. This is a reconstruction of on-screen activity: cursor movement, taps, scrolling and clicks, played back so I can see where the site is confusing or broken. It is not a camera or a microphone, and it does not identify you by name.

Clarity masks text typed into form fields by default, so what you enter into the name, email and phone boxes is not readable in a recording.

If you would rather not be recorded, you can opt out using Microsoft's opt-out page or by using your browser's Do Not Track setting.

The booking details exist for one reason: so I can plan your night properly and make the reservations. Your name and contact details let me send you the plan and reach you if a venue has a problem.

The analytics exist so I can see which parts of the site work and which parts do not. That is genuinely all. I do not build advertising profiles about individuals, and I do not sell anything to anyone.

Venues. To make a reservation I have to give the venue a name, a contact number, the date, the time and the size of your group. This is the same information you would give if you rang them yourself. I do not pass on your budget, your notes, or anything else from your booking.

Service providers. Ludi Guide runs on tools built by other companies, and your information passes through them:

Most of these companies are based overseas, primarily in the United States, which means your information may be stored or processed outside Australia. I have chosen established providers, but I cannot control their infrastructure, and by using the site you accept that this transfer happens.

Nobody else. I do not sell your information, rent it, trade it, or hand it to data brokers. If I were ever legally required to disclose something, I would.

Booking records are kept for five years, which is the period the ATO expects business records to be retained.

Website analytics are kept for 14 months. Session recordings are kept for 30 days and then deleted automatically.

Mailing list subscriptions are kept until you unsubscribe, which you can do from the bottom of any email I send.

Booking data sits in a password-protected database with restricted access. Payment details never touch my systems. The site runs over an encrypted connection.

I will not pretend any of this is unbreakable, because no system is. What I can tell you is that access is limited to me, and that I do not keep more than I need.

The site uses cookies for analytics and advertising measurement. You can block or delete them in your browser settings. Doing so will not stop the planning wizard from working.

You can ask to see what information I hold about you, ask me to correct anything wrong, ask me to delete your details, or ask me to stop sending you email. Just email me and I will sort it out, normally within a few days. There is no charge and you do not need a reason.

One limitation worth being upfront about: if you ask me to delete a booking record I am still required to keep basic transaction records for tax purposes, so I will remove everything I can and keep only what the ATO requires.

If you are unhappy with how I have handled your information, email me first and I will do my best to fix it. If you are still not satisfied, you can take it to the Office of the Australian Information Commissioner at oaic.gov.au.

Ludi Guide plans nights out that usually involve licensed venues, so the service is intended for adults. I do not knowingly collect information from anyone under 18.

If I change how any of this works, I will update this page and change the date at the top. If it is a significant change and you are on my mailing list, I will tell you.
